Venuvo respects your privacy and the right to have control over your personal data. We strive to be transparent about what data we collect and why. Our processing of personal data is in accordance with applicable data protection legislation, including the EU General Data Protection Regulation, EU 2016/679, (“GDPR”).

Collection of Personal Data

We primarily collect data directly from you within the scope of our business relationship. You may be a contact person at one of our clients, suppliers, partners, or an independent consultant, job seeker, or student. In short, people we interact with in our business. Examples of personal data we may process include name, contact information such as mobile phone number, address, email address, LinkedIn profile, and other social media. We may also update your information from other public registers, such as the Swedish Companies Registration Office and SPAR, to ensure data quality.

We may also record personal data that you provide to us when you interact with us digitally, for example:

  • When you fill in your name, email address, and/or mobile number on our website.

  • If you contact us via email, our websites, or social media.

  • If you sign up for our newsletters or digital services.

  • Your use of our websites and/or apps, including but not limited to traffic data, location data, web logs, and other communication data, as well as IP address, device type, operating system, and browser type.

Purpose and Legal Basis

We process your personal data for the following purposes and legal bases:

  1. Customer and Supplier Management: To manage and develop our business relationships, including customer service and supplier databases. The legal basis is our legitimate interest in maintaining business relationships and fulfilling commercial agreements.

  2. Administration and Billing: To manage billing, correspondence, and other services. The legal basis is our legitimate interest in ensuring proper administration and delivery of our services.

  3. Recruitment and Consultant Matching: To manage our cooperation with consultants, job seekers, and students. The legal basis is our legitimate interest in meeting expectations in our business relationships and agreements.

  4. Development of Digital Services: To improve our digital services, including analysis of user behavior and statistical data. The legal basis is our legitimate interest in ensuring functionality and promoting our business.

  5. Marketing: To contact you via email, app, SMS, or mail about offers and services that we believe may be of interest to you or your employer. The legal basis is our legitimate interest in marketing relevant products and services.

Disclosure of Information

We may share your personal data with other companies within our group or with external service providers that we have engaged to fulfill the above purposes. These providers offer IT services and marketing services. If you are a candidate for a position, we may also share information with our external clients or partner companies as part of our work to match you with assignments.

We only collaborate with partners who process personal data within the EU/EEA or with companies that maintain the same level of protection as in the EU/EEA. All transfers of personal data comply with GDPR requirements.

Storage and Deletion of Personal Data

Processing is carried out in accordance with applicable legislation, which means that personal data is not stored longer than necessary. We will store your personal data as long as you are an active and potential customer, candidate (including subcontractor or job seeker), or partner with us. If our relationship has ended and/or it is not considered reasonable to reactivate it, we will delete your information. Such data reviews are conducted periodically and at least once a year. Unless otherwise specifically addressed or if we have received your specific consent, personal data of individuals who have been inactive in our relationship for three years will be deleted.

Certain information may be retained longer when required by legal obligations, such as the Accounting Act.

When processing and storing personal data, we consider its confidentiality and the relevant level of organizational and technical security measures depending on the risk and sensitivity of the data being processed.

Data Processor Agreements and Other Applicable Conditions

If your personal data is processed by us under an assignment agreement that we have entered into with your employer or another party responsible for your personal data, the assignment agreement (to the extent applicable) shall take precedence over what is stated in this policy. In such cases, we will process your personal data in accordance with the terms of the assignment agreement.

Similarly, if you have registered for any of our services, communications, etc., the terms provided at the time of your registration for such service(s) shall apply.

Your Rights and Choices

You have rights regarding your personal data, and you can modify your information and what is stored. We will, at your request and/or at the request of our partners, correct any information found to be inaccurate. You may also request that your information be deleted or its use restricted by contacting us (see the “Contact Us” section). If you believe that your rights are not being respected by us, you are welcome to contact us, or you may contact the supervisory authority (formerly the Data Inspection Board).

You have the right, under certain circumstances, to access the personal data that you provide to us and that concerns you. This data can be obtained in an electronic format that is commonly used, and you have the right to transfer such information to another data controller (data portability). You also have the right to object to the processing of your personal data. If this occurs, we must demonstrate compelling legitimate reasons that outweigh your interests, rights, and freedoms in order to continue processing your personal data.
